A specialty subcontractor responsible for fire-stopping, fireproofing and insulation for some of the Bay Area\u2019s biggest tech companies and more, Accurate Firestop has built a reputation true to its name. After they began serving the residential, commercial and industrial markets over 20 years ago, however, Accurate had used a popular off-the-shelf accounting program<\/a> \u2014 plus a lot of spreadsheets. So it didn\u2019t take much growth before they found it wasn\u2019t the best long-term solution for their business.<\/p>\n\"eBook<\/a>\n

<\/span>Sounding the Alarm<\/span><\/h3>\n

\u201cWe wanted to get our job costing more accurate,\u201d says executive director Gabrielle Lucatero. \u201cAt the time, it felt like we couldn\u2019t entirely trust our numbers.\u201d Job costing was central to what Accurate was trying to do. They wanted to give their estimators better feedback to help them improve their bidding and increase profits, but recognizing their multiple profit centers, cost categories and cost levels just wasn\u2019t what their small business software majored in.<\/p>\n

And that wasn\u2019t the only source of friction with their old software.<\/p>\n

\u201cI did not enjoy using it,\u201d Gabrielle puts it plainly. Support was difficult to get a hold of, she recalls, and that could leave Accurate Firestop with significant downtime while they fended for themselves. Finally, there was the potential for some pretty major security concerns that they wanted to feel better about. The availability of user security restrictions had been minimal. Once someone was in the system, in theory, they could simply change numbers in the accounting \u2014 even on accident. No backups, no audit trail, no peace of mind. Bottom line, they needed to know they could trust their own accuracy.<\/p>\n

<\/span>Kindling a Spark<\/span><\/h3>\n

Gabrielle began the hunt for construction-specific accounting software<\/a>. Her research brought her around to FOUNDATION Hosted cloud-based project management and job costing software<\/a>. The online and live demos showed her the inside of the system in detail, and they impressed her. \u201cAnother thing that was really important to us,\u201d she remembers, \u201cthe service and support team was the best I\u2019d heard about.\u201d So FOUNDATION Hosted ticked all of the boxes. Even more importantly, says Gabrielle, \u201cIt seemed like it suited us.\u201d In a word, it felt right.<\/p>\n

\u201cThe implementation was awesome,\u201d Gabrielle says unequivocally, \u201cand extremely thorough.\u201d Accurate Firestop was assigned their own software trainer, Melissa, who walked them through the set-up and implementation \u2014 and even helped them build custom reports<\/a> especially for their business. \u201cWe absolutely love Melissa.\u201d And for a system with a lot of functionality and a heavy load of features available, \u201cEveryone in the office understands how to use it and has been functioning very well.\u201d<\/p>\n

Meanwhile, their control over their accounting has increased since making the switch. \u201cThe thing that I think was most important to us was that FOUNDATION has a lot more security than a lot of other programs.\u201d It goes beyond user-based authentication factors for logging in. Accurate Firestop can now easily set the exact modules, tools and reports that they want each user to be able to view or access. Or they can use full-access defaults. Additionally, optional project manager security settings restrict users to only those jobs assigned to them. So while their Project Management Module<\/a> keeps all of their job documents in one place, Accurate Firestop\u2019s employees can see only what they need to and nothing they shouldn\u2019t.<\/p>\n

System controls also go the extra mile to reduce entry errors and ensure data integrity. And that makes Accurate Firestop feel good. \u201cThe system is set up to make you really accurate,\u201d she says. FOUNDATION Hosted’s multiple dimensions of accounting and cross-module integration mean that journals have to tie out with the general ledger<\/a>, helping to ensure balanced books from every angle: \u201cIt holds us accountable.\u201d And a complete audit trail records every transaction, correction and reversal in the system, so every number is traceable to its origin.<\/p>\n

<\/span>Sharing Warm Feelings<\/span><\/h3>\n

In the end, Accurate Firestop found even more than they were initially looking for. FOUNDATION Hosted’s change order tracking has improved communication between the billing and operations departments. Timecard imports and automatic\u00a0certified payroll reports<\/a> have saved countless hours. And their project document control<\/a> has reached a whole other level. But more than a software application, they found a partnership with Foundation Software they\u2019re happy to carry forward. Gabrielle is a fan especially of Foundation\u2019s consulting services: \u201cIt\u2019s been really good for training us in additional reporting. Anything new we\u2019ve wanted to add, whenever we need to implement a new solution, it\u2019s been fantastic.\u201d And, she adds happily, \u201cWe still use Melissa primarily!\u201d<\/p>\n\"Watch<\/a>\n

\u201cAcross the board,\u201d Gabrielle concludes, \u201ceverything feels like it\u2019s catered to us. It\u2019s what we need and what we were looking for. I think overall it\u2019s the best software we\u2019ve used or seen. It\u2019s worth it; just everything Foundation offers is worth getting.\u201d<\/p>\n
