Ideally, a contractor uses a best-of-breed system that\u2019s sophisticated enough for the specialized billing, payroll, and reporting their <a href=\"https:\/\/www.foundationsoft.com\/learn\/what-is-overhead-allocation\/\">business needs.<\/a> However, many <strong>successful contractors<\/strong> aren\u2019t quite ready to fit a construction-specific accounting application. In that case, software like QuickBooks Online or Xero might be excellent options for them.<\/p>\n<p>You\u2019ll sometimes hear that QuickBooks can\u2019t do job costing. And that\u2019s not quite true. Over <a href=\"https:\/\/6sense.com\/tech\/payroll-and-benefits\/quickbooks-payroll-market-share\">20,000 companies<\/a> in the US use QuickBooks Payroll. Now, most of these are probably not construction companies. But, for contractors who aren&#8217;t ready for construction-specific specialized accounting software, they can make due with generic software like QuickBooks.<\/p>\n<p>QuickBooks Online has a few ways to pull project reporting that can be similar to <a href=\"https:\/\/www.foundationsoft.com\/learn\/three-steps-to-successful-job-costing\/\">job costing software<\/a>. At the time of publishing, <strong>each requires the QuickBooks Online Plus<\/strong> edition.<\/p>\n<p>However, if you\u2019re a contractor who plans to do <strong>job costing in QuickBooks online<\/strong>, you should exhaust your options to get as much project data as possible out of your software.<\/p>\n<div id=\"for-more-box\">\n<p><a class=\"gdlr-button medium\" href=\"\/learn\/even-need-new-construction-accounting-software\/\" target=\"_self\"  style=\"color:#ffffff; background-color:#000000; border-color:#999999; \"  >READ: &#8220;Do You Even Need New Construction Accounting Software?&#8221; \u00bb<\/a><\/p>\n<a target=\"_blank\" href=\"\/job-costing-ultimate-guide\/\" class=\"blog-cta-image\"><img decoding=\"async\" src=\"\/wp-content\/uploads\/2024\/03\/FSL-blog-post-ad-ultimate-guide.png\" alt=\"UG to Job Costing\" title=\"UG to Job Costing\"><\/a>\n<h2><span class=\"ez-toc-section\" id=\"1_Using_Sub-Customers_as_Jobs\"><\/span>1. <strong>Using Sub-Customers as Jobs<\/strong><span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>One common method to try to <strong>job cost in QuickBooks<\/strong> is the \u201cSub-Customer Method.\u201d What QuickBooks desktop editions used to call \u201cjobs,\u201d QuickBooks Online calls \u201csub-customers.\u201d<\/p>\n<p>These are simply customer records that you\u2019re able to nest underneath a \u201cparent\u201d customer like a subcategory. Just like a job can only have one customer, a <em>sub-customer<\/em> can belong to only one customer record.<\/p>\n<p>Sub-customers are used for slightly different purposes by numerous other industries. A designer might use them to track multiple projects for a single client. A bookkeeper or consultant might use sub-customers for each of several businesses operated by the same person. Intuit even suggests that they could represent member teams in a league.<\/p>\n<p>For <strong>contractors<\/strong>, however, sub-customers can function as a work-around in order to gain some amount <strong>job cost reporting<\/strong>.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Adding_Sub-customers_in_QuickBooks\"><\/span>Adding Sub-customers in QuickBooks<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<ol>\n<li>To add a sub-customer, select \u201cSales\u201d on the left sidebar.<\/li>\n<li>Click on the \u201cCustomers\u201d tab.<\/li>\n<li>Click on the [New customer] button in the upper right corner.<\/li>\n<li>Enter the name of the desired <strong><em>project<\/em><\/strong> name <em>Company name<\/em> and <em>Display name<\/em>. To avoid confusion, this name should be distinct from the name of the customer. It should also be identifiable from any other projects they might have now or in the future.<\/li>\n<li>Select the \u201cparent\u201d customer record from the drop-down menu. This will be the actual customer the project is for.<\/li>\n<li>Enable the <em>Is sub-customer<\/em> checkbox.<\/li>\n<li>Select \u201cBill with parent\u201d in order to tie the invoice to the customer when recording an expense under the sub-customer.<\/li>\n<li>Click [Save].<\/li>\n<\/ol>\n<h3><span class=\"ez-toc-section\" id=\"Using_Items_as_Cost_Codes\"><\/span>Using Items as Cost Codes<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>For contractors, a basic <strong>traditional job cost structure<\/strong> will typically include:<\/p>\n<ul>\n<li>jobs or projects<\/li>\n<li>cost codes for distinct activities on the project<\/li>\n<li>cost types or cost classes \u2014 such as materials, labor costs, subcontracts, etc. \u2014 that tie out to expense types listed on the income statement<\/li>\n<\/ul>\n<p>Some contractors might build additional levels into their cost structure, like <strong>project phases<\/strong>.<\/p>\n<p>Since QuickBooks isn\u2019t built to maintain a construction job cost structure, however, QuickBooks users often use \u201citems\u201d to represent cost codes. In QuickBooks Online, items are products and services. These exist on both the expense and sales sides.<\/p>\n<p>For example, one item might be framing; another might be drywall or lumber. These products and services will be available to all customers and sub-customers, so you don\u2019t need to create one for each job. As a result, you may be able to set up<strong> profit and loss (P&amp;L) reports per item across your whole company.<\/strong><\/p>\n<h3><span class=\"ez-toc-section\" id=\"Adding_Products_and_Services_in_QuickBooks\"><\/span>Adding Products and Services in QuickBooks<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<ol>\n<li>Click on the gear icon and select <strong><em>Lists &gt; Products and Services<\/em><\/strong>.<\/li>\n<li>Click on the [New] button in the upper right corner.<\/li>\n<li>Select an item type \u2014 either \u201cInventory,\u201d \u201cNon-Inventory,\u201d \u201cService\u201d or \u201cBundle.\u201d<\/li>\n<li>Enter the relevant item information.<\/li>\n<li>To be able to track costs for this item, enable the <em>I purchase this product\/service from a vendor <\/em>checkbox.<\/li>\n<li>Click [Save and close].<\/li>\n<\/ol>\n<h3><span class=\"ez-toc-section\" id=\"Additional_Settings_for_Construction_Job_Costing_in_QuickBooks\"><\/span>Additional Settings for Construction Job Costing in QuickBooks<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>To be able to allocate job costs to customers in QuickBooks Online, you\u2019ll also need to turn on billable expenses.<\/p>\n<p>Click the gear icon on the main menu, and go to <strong><em>Your Company &gt; Account and Settings &gt; Expenses<\/em><\/strong>.<\/p>\n<p>From there, you can enable the <em>Show Items table on expenses and purchase forms <\/em>checkbox to track costs by job item in addition to the account. Here you would also enable the <em>Track expenses and items by customer<\/em> checkbox.<\/p>\n<p>Finally, by enabling <em>Make expenses and items billable<\/em>, you\u2019ll set a system default for the checkbox you <strong>enabled in Step 6 above<\/strong>.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Reporting_Sub-Customer_Costing\"><\/span>Reporting Sub-Customer Costing<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>With the sub-customer method, you can view several reports that give you something like<strong> job cost reports<\/strong>.<\/p>\n<p>For example, from the left sidebar, you can go to <strong><em>Reports &gt; Review Sales &gt; Income by Customer Summary<\/em><\/strong>. This should allow you to view your project income, expenses, and net income for each sub-customer.<\/p>\n<p>To bring in the products and services you could be using in place of cost codes, you might use the Profit and Loss Report. Go to <strong><em>Reports &gt; Business Overview &gt; Profit and Loss<\/em><\/strong>, and change <em>Display columns by <\/em>to \u201cCustomers\u201d or \u201cProducts\/Services.\u201d To filter, say for a particular sub-customer, click [Customize] in the upper-right corner.<\/p>\n<p><a class=\"gdlr-button medium\" href=\"https:\/\/www.foundationsoft.com\/\" target=\"_self\"  style=\"color:#ffffff; background-color:#000000; border-color:#999999; \"  >READ: &#8220;So You Think You&#8217;re Job Costing . . . Using Classes and Locations<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>QuickBooks Online classes and locations provide additional ways to look at your cost data, apart from formal <a href=\"\/software\/job-costing\/\">construction job costing<\/a>.<\/p>\n<p>For contractors, locations might represent geographical areas; however, they could also represent different business units, such as <strong>residential construction<\/strong>, <strong>commercial construction<\/strong>, and <strong>consulting<\/strong>. QuickBooks Online classes could also be used for business units or for dividing those business units into products and services.<\/p>\n<p>The biggest difference between them is this: You can attach a transaction to only one <em>location<\/em>, but you can specify line items to different <em>classes<\/em>.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Turning_on_Classes_and_Locations_in_QuickBooks\"><\/span>Turning on Classes and Locations in QuickBooks<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>In order to enable the use of classes and locations in QuickBooks Online Plus:<\/p>\n<ol>\n<li>Click the gear icon, and select <strong><em>Your Company &gt; Accounts and Settings<\/em><\/strong>.<\/li>\n<li>Select the \u201cAdvanced\u201d tab.<\/li>\n<li>Click the edit icon across from \u201cCategories\u201d to enable <em>Track classes <\/em>and <em>Track locations<\/em>.<\/li>\n<li>Click [Save].<\/li>\n<li>From the main menu, click the gear icon and select <strong><em>All Lists &gt; Locations &gt; New <\/em><\/strong>or <strong><em>All Lists &gt; Classes &gt; New<\/em><\/strong>.<\/li>\n<li>Enter your location or class information.<\/li>\n<\/ol>\n<p>You can use this same process to create sub-classes by also enabling the checkbox <em>Is sub-class<\/em> and selecting the parent class.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Reporting_Class_and_Location_Costing\"><\/span>Reporting Class and Location Costing<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Without job costing on project budgets, QuickBooks Online does offer the ability to track cost categories against budgets with the help of classes and locations.<\/p>\n<p>When setting up a budget, you can use the <em>Subdivide by <\/em>drop-down menu to select \u201cLocation\u201d or \u201cClass.\u201d Once budget information and transactions have been entered, you\u2019ll access the report under <strong><em>Reports &gt; Budget vs. Actual<\/em><\/strong>.<\/p>\n<p>After clicking on \u201cCustomize,\u201d you can use the <em>Show Grid <\/em>drop-down to choose the type of budget vs. actual report you want to see, such as \u201cAccounts vs. Classes.\u201d Once you have your desired settings and filters configured, select [Run report].<\/p>\n<p><a class=\"gdlr-button medium\" href=\"\/learn\/construction-cash-flow-reporting\/\" target=\"_self\"  style=\"color:#ffffff; background-color:#000000; border-color:#999999; \"  >READ: &#8220;Why Your Construction Company Really Needs Cash Flow Reporting&#8221; \u00bb<\/a><\/p>\n<h2><span class=\"ez-toc-section\" id=\"3_Using_Projects\"><\/span>3. Using Projects<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Finally, projects are an additional feature in QuickBooks Online to help keep job-related information organized together. It uses the sub-customer records in your QuickBooks database without creating a new dimension to the system.<\/p>\n<p>With projects, you can look at an individual job or all open jobs to see transactions, profitability, and outstanding invoices. The idea is to replace what Intuit calls sub-customer \u201cwork-arounds\u201d and third-party add-ons, though <strong>each contractor will still need to decide what works best for them<\/strong>.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Turning_on_Projects_in_QuickBooks\"><\/span>Turning on Projects in QuickBooks<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>To begin accessing project features in QuickBooks Online Plus:<\/p>\n<ol>\n<li>Click the gear icon, and select <strong><em>Your Company &gt; Accounts and Settings<\/em><\/strong>.<\/li>\n<li>Select the \u201cAdvanced\u201d tab.<\/li>\n<li>Click the edit icon across from \u201cProjects\u201d to enable <em>Organize all job-related activity in one place<\/em>.<\/li>\n<li>Click [Save].<\/li>\n<\/ol>\n<p>As a result, you\u2019ll be able to see \u201cProjects\u201d in the left sidebar and can begin working with them. Click on \u201cProjects\u201d to add your first project and attach it to a customer. You can convert any sub-customers and their transactions over to projects by going to <strong><em>Sales &gt; Customers <\/em><\/strong>and clicking on the conversion link.<\/p>\n<p>Alternatively, if you rename your sub-customers to be identical with a project you\u2019ve created, QuickBooks Online will ask if you want to merge them.<\/p>\n<p>To add project transactions, go to your \u201cProjects\u201d list, select your job, and click the [Add to project] button in the upper-right corner. Alternatively, you can use the plus icon at the top, select the desired transaction type, and choose the project name from the <em>Customer\/Projects<\/em> drop-down menu.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Reporting_Projects\"><\/span>Reporting Projects<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>The QuickBooks Online projects feature adds three reports, as well as a project-centered transaction list. You\u2019ll find these under \u201cProjects\u201d as well. Project Profitability gives you a P&amp;L report for the job without needing to filter for a sub-customer. Similarly, Unbilled Time and Expenses saves a couple of steps by bringing these transactions under one project.<\/p>\n<p>Finally, Non-billable Time is a report contractors may want to use to track time on a <strong>construction project<\/strong> that won\u2019t be directly billable, such as administrative or overhead labor.<\/p>\n<p>Because projects function the same way that sub-customers do, previous reports such as Income by Customer Summary and Budget vs. Actual are still available with projects turned on.
